Board Descriptions

    Position: Chapter President

    Meetings
    The President shall preside at all chapter meetings, as well as all meetings of the chapter's executives relating to planning and implementation of activities.

    Committees
    The President shall appoint committees as needed by the chapter. This duty may be delegated, if appropriate. The President shall receive reports from the committee chairpersons on a regular basis.

    ALA Participation
    The President of the chapter shall work closely with Regional Directors, Officers and the headquarters staff for the recognition of the chapter and its members. The President shall have the responsibility of maintaining contact with those individuals in order to keep members apprised of activities.

    The President shall make a concerted effort to attend the annual and regional conferences as well as chapter leadership training workshops.

    Membership
    The President shall make certain that accurate membership records are maintained and that headquarters is kept apprised of all changes. These duties may be delegated. The President should make an effort to recognize and welcome each new member of the chapter.

    Miscellaneous
    The President will receive many telephone inquiries, as well as a great deal of correspondence. Every effort should be made to acknowledge and respond to calls and correspondence in a timely manner.

    The President should be available for special appearances or speaking engagements, particularly in connection with other legal organizations, such as bar associations, etc. (Refer to the Board Rulings section of this booklet for important details about speaking engagements.) The President is in a position to enhance the linage of the association and gain support of the legal community, particularly by way of recognition of the profession by attorneys.

    The President will encourage members to abide by the, ALA Code of Professional Ethics.

    Position: President-Elect

    Basic Functions
    This officer is a member of the chapter's board of directors and has the prune responsibility to assist the President in fulfilling his/her duties and to act in the place of the President when the President is unable to do so.

    It is intended that this officer will prepare to assume the position of the President the subsequent year in such a way that the continuity of the chapter will be maintained.

    Programming
    This officer is responsible for all programming during his/her term of office including chapter meetings including, but not limited to, subject matter, format, speakers, location, etc., and therefore, is automatically a member of the Standing Program Committee.

    Committees
    All standing committees are coordinated through this position. This officer is an honorary cochair on all committees. It is also the responsibility of this officer to recruit committee participants from the general chapter membership.

    ALA Participation
    It is encouraged that this officer attend as many ALA meetings relating to chapter leadership as possible. This will help develop continuity of the chapter in its relationship with ALA.

    Miscellaneous
    The President - Elect will encourage members to abide by the ALA Code of Professional Ethics.

    Position: Vice-President

    Basic Functions
    This officer is a member of the chapter's board of directors.

    It is intended that this officer will prepare to assume the position of President-Elect the subsequent year.

    Membership
    This officer is responsible for all membership recruitment during his/her term of office including, but not limited to, distributing international Association and Chapter membership information to potential members; following up with potential new members by telephone or other communication to provide additional information; maintaining a list of current members and providing information to the Website Chair; and maintaining name tags for each member for use at Chapter meetings.

    ALA Participation
    It is encouraged that this officer attend as many ALA meetings relating to chapter leadership as possible. This will help develop continuity of the chapter in its relationship with ALA.

    Miscellaneous
    The Vice President will encourage members to abide by the ALA Code of Professional Ethics.

    Position: Secretary

    Minutes
    The secretary shall keep a record of the proceedings at all chapter meetings. A copy of these minutes shall be mailed to the membership and approved at the following meeting. The secretary will maintain a minutes book in good order and shall include the original minutes of each meeting, with a copy of the sign - up sheet attached. The secretary shall keep a record of the proceedings of all board meetings. A copy of these minutes should be mailed to the officers of the board as soon as possible after meetings.

    Attendance Records
    The Secretary shall provide a sign-up sheet at each chapter meeting. A copy of the sign-up sheet shall be mailed to the other chapter officers and chairperson of the Membership Committee. The Secretary shall maintain an attendance chart of current members and meetings attended by each. A copy of an updated attendance chart shall be distributed to the officers and the Membership Committee Chairperson at least twice each year, and an updated copy shall be provided to the Nominating Committee to assist in the nominating process.

    Correspondence
    It is the duty of the Secretary to prepare and distribute all meeting notices and to mail dues notices. The Secretary will assist in the processing of applications for membership, making certain that all chapter members are members of ALA.

    ALA Participation
    The Secretary shall notify regional officers and headquarters of the chapter's activities.

    Miscellaneous
    The Secretary may perform additional duties as specified by the President or Board of Directors. Other duties may include meeting planning.

    The Secretary will encourage members to abide by the ALA Code of Professional Ethics

    Position: Treasurer

    Membership Dues
    Prepare chapter dues statements for all members. The Treasurer is responsible for follow-up and collection of delinquent dues, but such delinquencies should be brought before the chapter board prior to action.

    Records & Financial Reports
    The Treasurer must maintain adequate and accurate records of all financial transactions. The Treasurer will also prepare financial reports for regular meetings of the chapter board and distribute copies to the other officers.

    Budget
    Prior to the end of the chapter's year, the Treasurer shall meet with the Budget Committee to prepare a projected budget for the upcoming year.

    Meetings
    In addition to attendance at chapter meetings, the Treasurer attends planning meetings of the officers, as directed by the President.

    Bank Deposits
    Receive and deposit all funds including:

    • New member dues
    • Renewal dues
    • Guest fees
    • Fees for salary survey and membership lists

    Payables
    The Treasurer maintains the chapter's checkbook and pays all bills and expenses. Two signatures should be required on checks. The Treasurer also maintains receipts and reconciles the bank statement monthly.

    Miscellaneous
    The Treasurer may perform additional duties as assigned by the President.
